Using Teams Phone

Users may need to fully sign out of Microsoft Teams and sign back in to see the Calls dial pad within the Teams application.

Procedure:

1.In Teams, select your profile picture (or initials) in the upper right corner.  Select Sign Out.

2.Teams will restart.  Select your account to log back into Teams.  **You may need to go through the Multi-factor authentication process again when logging back in.

 3.Once you are logged back into Teams, select the Calls icon on the left navigation.  Confirm that you see a dial pad and your phone extension.

CCBC’s new telephone system is aligned with Microsoft Teams.  Users are provided the option for a physical phone device that allows them to sign into Teams to make and receive calls.  Users are also able to make calls directly from the Teams application on their computer or through the Teams app on a smart phone.

Procedure:

1.On your phone, select the Refresh Code button. 

2.Open a web browser on your PC and navigate to https://microsoft.com/devicelogin.  Enter the code displayed on your device.

3. Login with your CCBC credentials.  You will see a screen that says "Are you trying to sign into the Microsoft Authentication Broker".  Select Continue.  Do not close the browser until you are instructed to.

4.After you successfully login for the first time, you will be presented with several screen messages welcoming you to Microsoft Teams.  Select Next on each of these until you are on the Home Screen.  Once you see your information on the screen, you are all set!

With Microsoft Teams Calling, users will be able to access their voicemails from within the Teams App, from a physical Teams phone (Polycomm CCX400), and receive an audio file with transcription through their CCBC email. 

Procedure:

1.Select the ellipsis (…) next to your profile picture or initial.  Select the Settings option.

2. Select Calls on the left side navigation and then select Manage Voicemail.

3.From the Configure Voicemail page, you can:

1. Record a new voicemail greeting
2. Adjust the default greeting language
3. Choose what happens when the call is redirected to voicemail
4. Create a text-to-speech voicemail greeting.  **If you recorded a greeting, it will override the text-to-speech option**
5. Set up an Out of Office voicemail greeting.

Answering a call:

Microsoft Teams offers the ability to make and receive calls directly through the application or using the physical Teams phone (Polycomm CCX400). 

procedure:

Calls from a call queue will ring you in the same way as a call to your individual Teams number. Depending on your configuration, you will hear a ring tone and see a pop-up notification for the incoming call:

Making calls using Teams Calling:

Making Calls within the Teams Application

1. Select the Calls icon on the left-hand navigation bar.  Use the dial pad to make a call.

   1. For internal calls, you can type a name or use the CCBC extension.

   2. For external calls, enter the entire number 

      1. Do not type 9 for dialing external call

Making Calls using the physical Teams Phone

There are three ways to make calls using the physical phone.

1. Pick up Phone
   1. dial internal extension or external number
2. Click on Calls Button
   1. dial internal extension or external number
3. Click on the speaker button
   1. dial internal extension or external number

Call Handling within the Teams Application

Call handling options will show towards the bottom of the options

1. Hold - places the call on hold.  It will not put the call back into a call queue.  You will have to transfer the call back to the queue using the Transfer option.

• Hold music will provide CCBC information

2. Transfer - Use to transfer the call to another person or call queue

3. Consult then Transfer – Puts the call on hold and allows you to talk to another person before transferring the call to them.

• Provides a hang up option

4. Park –  This is a feature that allows users to place a call on hold(placing it in a queue) and then retrieve it from another device or extension.Park a call

Lock you phone when you step away from your office

1. Select on Profile Picture on the upper right hand corner of your phone

2. Select Settings

3. Select Device Settings

4. Select Phone Lock

5.Turn on Enable Phone Lock & create your 6 digit pin number. Please Note: Only the person that created the PIN will know the PIN to unlock phone

You can choose other employees to be a "delegate" - someone to receive and make calls on your behalf.  This allows those who you have defined as a delegate to see and share your calls.
