Meetings, Calendar, Status & Settings in Teams

You can create meetings directly in Teams or through Outlook. Meetings can run as long as needed, but it's best to end them when you're done to close the session for everyone.

1. During the meeting, you will click the Share button.
2. Select what you want to share:
   • Screen - lets you show everything on your screen
   • Window - lets you share an open window like a specific app you have open
   • PowerPoint Live - lets you share a PowerPoint presentation

   •  lets you share a whiteboard where participants can sketch together
   • Excel Live -Lets you share a Microsoft Excel Workbook

3. After you select what you want to show, a red border surrounds what you're sharing

4. Select Stop sharing to stop showing your screen

You can turn on live captions during a teams meeting by selecting Start live captions. However, it will not save a copy of transcript. If you want to save a copy of transcript, under more actions click on Start Transcription.

Teams recordings are automatically saved in Microsoft OneDrive or Microsoft Stream. You can either download transcription as .vtt file or word document. However, you cannot edit transcript in OneDrive. An alternative, you can also upload the video to Microsoft Stream.  A transcription for the meeting is automatically created and added to the recording at the end of the meeting.  As with any automatic transcription, it is not 100% accurate.  You will need to access the video in Microsoft Stream and review/edit the transcription for accuracy.

Users may need to sign out of Teams in order to switch accounts or allow new features to show up.

1. In Teams, select your profile picture (or initials) in the upper right corner. 

2) Select Sign out

Use breakout rooms to break students into small groups during class meetings. You can open and close rooms more than once during a session or move participants between rooms. You can also create Breakout Room prior to the meeting or during the meeting

Setting your status in Microsoft Teams lets your colleagues know whether you're available, busy, away, or in a meeting, helping manage expectations for communication.

If you want to make sure people know when you’re busy or away from your desk, set your status in Teams. The little dot on your profile indicates if you’re available or not:

Teams will automatically set the status in some cases, like when you’re in a call.
