Overview
The instructions provided will show approved users how to send an encrypted email from a CCBC (Community College of Baltimore County) vanity email account to a external recipient outside of CCBC. Before the user can send encrypted email via a vanity account, they must go through the Vanity Email/Shared Mailbox Account Request and specify in the justification why the vanity email account will require encryption.
Once the vanity account has been approved all emails sent from the CCBC vanity account to external recipients will be encrypted.

Procedure
- Once you create a new email to be sent make sure you select Options and check Show From to ensure you are sending the encrypted email from the approved CCBC Vanity Account


- Verify you have provided the correct information and attachments before sending the encrypted email to the external recipient outside of CCBC
Note: External recipients must reply within the encrypted email webpage. Ensure that this is communicated with the external user within the encrypted email.

- The external recipient will receive the following email and be asked to use a One-time passcode to access the information. This process has been outlined below:
The recipient will receive the following email.

The One Time Passcode (OTP) page will show. Click on “Sign in with a One-time passcode” link.

The external email recipient will receive the One-time passcode in their email

Recipient will need to type the OTP

- Once the external recipient enter the OTP they will be able to view the contents of the encrypted email.

5. The external recipient must reply within the opened encrypted webpage by selecting Reply
