Event Guest WiFi Access Request Procedure

Overview

This article outlines the process for requesting Guest WiFi Access accounts for scheduled events and on-campus activities that can be planned in advance. This process is distinct from the daily Guest Access accounts available at service desks across the college, such as Libraries, Enrollment Services, Departmental Front Offices, and ITS Help Desk staff.

Audience

Event Organizers (also referred to as Requesters) scheduling future events or campus activities at the college.

Faculty, Staff, or Departments coordinating pre-planned events requiring internet access for external guests.

Procedure

  1. Schedule the Event
    Begin by booking your event through the college’s event scheduling system, 25Live, or with the appropriate campus office.
  2. Request Guest WiFi Access
    At the time of scheduling, notify the AV and Event Services staff that Guest WiFi Access will be needed. This request must be made in advance and cannot be fulfilled through daily service desk channels.
  3. Provide Event Details
    Submit the following information to the AV and Event Services team:
    • Event Name
    • Event Date Range (start and end dates only; no time required)
      • Event Start Date (must be no greater than six months from the date of request)
      • Event End Date (durations longer than 30 days will require CIO approval and creation)
    • Organizer/Requester Name
    • Organizer/Requester Phone Number
    • Organizer/Requester Email Address
    • Location (campus and room)
    • Number of expected guests requiring WiFi access (the number of credential sets (logins) your event will require as each set allows 100 logins)
    • Duration of access (up to 30 days)
 

Requirements

  • Advance Planning: Requests must be made at the time of event booking and can be scheduled up to six months in advance.
  • Duration Limit: Guest WiFi access is limited to a maximum of 30 consecutive days.
  • Valid Event Booking: A confirmed event reservation is required.
  • Identification for Guests: Guests must present one of the following forms of identification to use the provided credentials:
    • A driver’s license with photo and name
    • A government-issued ID (e.g., passport) with photo and name
    • Any authoritative ID that includes both a name and photo
  • Policy Compliance: All recipients of CCBC Event Guest WiFi Access must adhere to all college policies and acceptable use guidelines.
